About the role:
Provide high quality executive and administrative support to the Executive Director, including calendar and email management, travel, and meeting, briefing and correspondence support. You will use your initiative to prioritise tasks and monitor workflow in supporting the delivery of frontline regulatory operations, aligned to EPA’s strategic priorities, to prevent harm to Victorian communities and the environment from pollution and waste.
In this role you will:
- Provide a range of effective executive support functions to the Executive Director in Operations Division, including calendar and email management, accurately managing the divisions events diary; providing quality support to governance committees (including as required, fulfilling the role of Secretariat), working groups and meetings.
- Arrange meetings and conferences, including liaison with senior executives, government, and non-government officials, coordinating papers, organising venues, agendas, taking minutes and follow-up actions, and making travel and accommodation arrangements.
- Answer queries, provide timely advice, undertake follow up action and identify emerging administrative functions, pre-planning, and evaluation of scope.
- Effectively manage and develop office processes and infrastructure, and maintain corporate information systems for records management, financial information, fleet management, purchasing and correspondence and briefings for the Minister, Board and Chief Executive Officer
Skills and experience:
- Senior level experience in the provision of executive assistance support to senior executives.
- Advanced knowledge and demonstrated ability to use the Microsoft suite of business applications.
- High level communications and organisational skills, with the ability to prioritise across multiple competing demands.
- A proven record of achievement in a similar role which contributes to organisational excellence, high standards of performance and a positive organisational culture.
